Online Protocols & Teams How Tos

Conference Platform

SPMUN Special Edition 2021 will be based entirely on Microsoft Teams, and ideally only limited to other Microsoft Platforms (such as Word). If a document relating to the conference was made on a separate platform, we ask that you upload it onto your respective Committee Teams, under the file tab. You should ask your chair or the Chief Technology Officer for assistance with this. 

Follow the steps below to access the conference platform:

You will have received an email username and password through which you will be able to join the Teams server and navigate the platform throughout the conference. This email username is how other delegates will see and identify you during debate (eg: [email protected])  

 
1) You should first log in to Microsoft Outlook using your assigned email account

2) Once you enter outlook, you will find an email from Microsoft teams asking you to join. You should then click on the purple button.  ​

Click on the purple button ("Open Microsoft Teams"), and you will be led to the following page:
(Please note that you may experience difficulties if using Safari, switch to Google Chrome or Microsoft Edge to be able to complete the following steps)

3) Click accept. Your browser should then give you the following options:

4) We ask that all conference-goers download Teams as it is free-of-charge and can offer a far better user experience through the application. Remember to enable Teams to use your camera, microphone and screen recording functions before the conference through your device settings, as you will need to restart the app for these changes to take place. Click on "Download the (...) app" if you have not yet installed the application and follow the steps.

How to lobby
You should begin lobbying at least 1-2 days before the conference. This will require you to be on your Committee Teams and have a good grasp on how to navigate the platform. Teams allows supplies the following functions that will be helpful when lobbying:

A) Live Meetings
You are free to host your own meeting and add participants (who are also parts of the same committee) as you wish. Please be mindful of the time of day when calling users into meetings, and only start meetings within a Lobby channel. To begin a meeting click on the "Meet" button is the top right-hand corner. To join an ongoing meeting, find the purple rectangle with a time on it and click "Join". It should also display the icons of the users in the meeting. If you are unable to find the meeting or join it, restart your time or privately message someone already in the meeting so that they can add you manually.

B) Posts & replies
​Similarly to Facebook, you can make posts visible to all members of the team, and reply accordingly. Anyone you reply to will receive a notification, so if you wish to call someone else into the conversation you can mention/@ them. There is also the option of @ the entire committee by typing in the Teams name. To make a post click on the purple button "New conversation" at the bottom. However, please be aware that messages, even private ones, can and will be monitored. Refrain from positing photos, GIFs or any inappropriate language as you may be removed from the conference.

C) Teams channels
These will serve as break out rooms and can be found in the tabs below the "General"/main channel of your committee. There should be 1-3 lobby's available and you are free to form your own blocs in the one of your choice. Messages, posts and meeting held within the channel will not affect other Committee channels. Like offline MUN conferences, all members of your committee will be able to see what blocs are being formed and what disscussions are being made. You can navigate the channels on the left-hand side of the screen. ​

​During Debate 

A normal meeting will look something like the screen below. To make any points raise your hand, and keep your mic muted at all times unless called upon by your chair. Do not keep your hand raised for an extended period of time. It is expected that all delegates keep their cameras on for every session, and do not leave the meeting during the breaks (simply turn off your camera and keep your mic muted).

How to submit resolutions
Please contact one of your chairs before the beginning of the debate session 1 to submit your resolution. To make them available, they will ask you to upload the document under the file section of the general channel. You will find this tab next to "Posts" at the top of the page. You can drag the document or upload it manually.

How to submit amendments
To submit amendments specify the type of amendment you would like to make (Strike/Addition/Modification) and send it in the meeting chat or privately to your chair. The chairs should specify which one will be accepting amendments for that resolution. Make sure to tag your position at the end and specify the clause (and sub-clause). The picture below points out the two manner in which you can submit amendment.

How to approach the chairs
If you have an individual query or would like individual help, send a private message to your chair, either by searching their name through the "Chat" tab or by hovering over their icon in the meeting or Teams (see second picture). ​

Once you have begun screen-sharing, There should be a small rectangle on your bottom right-hand corner that you can move around and use to mute/unmute, camera on/off and also stop screen sharing. If this does not appear you can also just go back to the Teams app to stop screen-sharing.
